One place to understand who is available
Team Calendar is a leave management and availability publishing platform for Australian teams using Xero Payroll. It brings approved payroll leave and calendar-only plans into one dependable view, then publishes read-only subscriptions for Outlook, Google Calendar and Apple Calendar.
New Zealand and United Kingdom support is planned. Australia is the supported Early Access region today.
If your team checks Xero, spreadsheets and messages before answering “Who is away?”, Team Calendar gives that question one practical home.
How the workflow fits together
- Connect Australian Xero Payroll. Team Calendar reads employees, approved leave and leave balances from the payroll organisation you authorise.
- Submit and decide leave in Team Calendar. Employees submit requests and managers approve, decline or ask a question with team availability in view. Submit, approve, decline and withdraw actions write to Xero synchronously and show failures inline.
- Publish a secure calendar feed. Authorised users create a scoped, read-only subscribe URL for a person or team. Calendar apps refresh subscribed feeds on their own schedules.
Xero remains the payroll source of truth for balances and accruals. Team Calendar does not calculate them.
Availability beyond payroll leave
Formal leave is only part of a team’s availability. Team Calendar also records calendar-only plans that never enter Xero or a pay run:
- Working from home
- Travelling
- Training
- Client site
The published calendar can include both sources, with each record’s meaning kept clear.
Privacy belongs to the feed
Feed owners choose how much detail subscribers receive. Named includes the person’s name and allowed availability detail. Masked publishes Out of office. Private publishes Busy.
These privacy modes change event details, not the subscribe URL. The complete active URL remains available to authorised viewers and should be protected like a credential.
